QuickTask User Guide

QuickTask keeps one task source of truth while offering eight projections for daily work, planning, prioritization, hierarchy, and review.

Getting Started

  1. Add a Task Location or choose an existing project.
  2. Use Quick Add or New Task to capture the title, date, project, tags, and notes.
  3. Choose the view that fits the current decision: daily work, priority, schedule, or hierarchy.
  4. Use the Inspector, timers, checklist, dependencies, and bulk actions to execute work.
  5. Review Inbox, reports, archive, and trash to keep the system current.
Tip: Use Matrix for priority decisions, then return to List or Board for execution.

One Task, Eight Views

A change in any projection updates the same task rather than creating a separate board card, calendar event, or mind-map copy.

  • Eight synchronized views: List, Board, Timeline, Tree, Calendar, Matrix, Table, and Mind Map edit the same tasks.
  • Markdown ownership: Tasks remain portable files with stable identity and user-controlled storage.
  • Projects and folders: Organize work hierarchically across capable local, cloud, and remote locations.
  • Quick Add and command palette: Capture structured tasks quickly and reach common operations from the keyboard.
  • Time and focus: Start task timers, Pomodoro-style focus, work logs, and task-level history.
  • Review and reports: Triage Inbox, bulk edit, archive, trash, reports, exports, privacy shield, and reviewed AI assistance.
Note: Privacy Shield changes what the interface shows; copies and exports may still contain original task data when the UI explicitly says so.

Settings

Open Settings to review the following app-specific controls:

  • Task Locations, storage capability, offline behavior, transfer, and recovery
  • Default project, views, statuses, priorities, dates, reminders, and timers
  • Keyboard shortcuts, widgets, shares, and external-entry controls
  • Privacy Shield, app lock, appearance, reports, and AI Assist preferences

Trial, Free, and Pro use the same functional feature set. Pro removes mobile ads and the daily desktop support reminder.

Keyboard Shortcuts

On Apple platforms, use Command where the app maps a displayed Ctrl shortcut to the platform primary modifier. The in-app shortcut page remains authoritative.

Tips & Tricks

Use Matrix for priority decisions, then return to List or Board for execution.
Attach time and work logs to the task instead of maintaining a separate timer record.
Use Privacy Shield before presenting or screen sharing task data.
Archive completed projects; use recoverable Trash for mistaken deletions.

Troubleshooting

A location is unavailableReview its capability, reconnect authorization, and wait for revision or offline replay status.
A task differs between viewsRefresh the project and inspect the task identity and conflict status; views should not create copies.
A shortcut does nothingMove focus out of a text field or review the customizable shortcut in Settings.
An AI suggestion cannot applyTurn off Privacy Shield if appropriate, inspect the proposal, and resolve stale task revisions before applying.

Privacy

  • Task files remain in locations you control.
  • Privacy Shield masks sensitive previews without changing the underlying task data.
  • AI Assist uses reviewable proposals and a visible data-send boundary.
  • App Lock and storage capability checks protect access without claiming unavailable security.
Your responsibility: Do not use tasks, automations, reminders, or shared exports to harass others or disclose information without authorization.
